Personal Assistant: Admin Department (Johannesburg)
Reporting to the Administration Manager your key performance areas will consist of providing routine clerical and secretarial assistance such as:
– Advise and assist the Administration Manager with daily and departmental duties
– Make appointments, correspondence, photocopying, faxing, mailing and filing
– Liaise with clients, suppliers and internal staff
– Arrange with suppliers on quotes and orders
– Answer telephones, screening callers, relaying messages, and welcoming visitors
– Create and maintain a filing system
– Monitor stationery for the Department
– Supervise the Cleaning staff
– Monitor and replenish stock of refreshments and chemical supplies
– Operate personal computer to access e-mail, electronic calendars, preparing spreadsheets, etc.
– Arrange venues for meetings
– Make travel and accommodation arrangements as required
– Liaise with external stakeholders where necessary
– Pick up and deliver materials as required
– Prepare monthly timesheets for temp staff and expense claim forms
– Arrange refreshments for Admin Manager and visitors for meetings as required
– Perform any other ad-hoc duties required by the Admin Manager
Requirements:
– Excellent telephone etiquette
– Good communication skills (verbal and written)
– Computer Literate (MS Word, Excel, PowerPoint, Outlook)
– Good Interpersonal skills
– Attention to detail
– Excellent organizational skills
– Discretion with confidential information
